Module facts

The LEADLION SAP Business One for Magento 2 module synchronises products, stock, prices, customers, orders and cancellations between SAP B1 and Magento 2, both ways and in real time.

Published on Updated on

What it does

Two-way, real-time synchronisation of products, stock, prices, customers, orders and cancellations between SAP B1 and Magento 2.

Who it is for

Distributors, manufacturers and B2B retailers with 1000+ SKUs whose accounting runs in SAP Business One.

How long it takes

7-10 weeks for a standard SME project; 12-16 for enterprise projects with complex UDFs.

Price

On request, after a discovery call. A one-time cost, with no monthly SaaS licence paid to us.

The problem

Why you need SAP Business One integration with Magento 2

Picture a Monday morning with 30 new orders in Magento, and SAP knows nothing about them. Your operator re-enters them by hand, one by one, 10-15 minutes each. Meanwhile, two of them are for products that sold out on Saturday, yet the store was still showing them as in stock. At the end of the day, an annoyed B2B customer calls: the prices on the site are the retail ones, not the ones negotiated with them.

These are the three typical problems of a company that sells online but runs its accounting in SAP B1 without an integration:

Manual re-entry

Orders copied by hand between interfaces eat up time and cost money: 10-15 minutes per order.

Inconsistent stock

The store shows sold-out products as in stock, which means overselling and unhappy customers.

B2B prices not reflected

Negotiated price lists stay in SAP and never reach the store. With manual entry, the error rate is 1-4% per transaction.

Integrating SAP Business One with Magento 2 removes these problems at the source.

Features

What the SAP Business One ↔ Magento 2 integration module does

We built a custom-developed module that synchronises all critical data both ways, in real time. It is a Magento SAP connector developed from scratch, not an adapted add-on. It covers the specifics of each business (multi-warehouse, B2B price lists, SAP UDFs, e-Factura) and keeps online store product synchronisation consistent, with no manual tasks.

Data synchronised between SAP B1 and Magento 2
SAP B1 entity Direction Magento 2 entity
Item Master ↔ Products (simple, configurable, bundle)
Item Groups → Product categories
Price Lists ↔ Retail prices (regular price)
Special Prices (per BP / Group) → Tier prices / Customer Group prices
Inventory Data (per Warehouse) ↔ Stock per source (Multi-Source Inventory)
Business Partners (Customers + Leads) ↔ B2B / B2C customer accounts + Address Book
Sales Orders ↔ Orders (synchronised statuses)
Cancelled orders ↔ Order cancellations

We support Magento multi-warehouse (Multi-Source Inventory) and price lists per customer group, which are essential for B2B. Additional flows (Deliveries → Shipments and Invoices → Magento invoices) can be added on request, depending on each client's accounting setup.

Benefits

Concrete benefits for your business

Eliminate manual entry

Orders flow automatically from Magento into SAP with every detail: products, prices, taxes, addresses, payment. Your operator no longer loses 10-15 minutes per order on copy-paste.

Stop overselling

Magento stock reflects the SAP B1 position in near real time, for every warehouse. On Black Friday, with 500 orders an hour, the store automatically stops selling sold-out products.

Correct B2B prices

Price lists and special prices from SAP are mapped to Magento customer groups. B2B customers see their own price and retail shoppers see the public price, with no two parallel sets to maintain.

Cut errors by 40-60%

By removing manual entry, you take the 1-4% error rate per transaction out of the equation. Fewer returns, fewer invoice adjustments.

Fulfil orders 5x faster

Orders are confirmed in SAP as soon as they come in, not 30 minutes later. For customers expecting delivery within 24h, that is the difference between keeping them and losing them.

Scale without hiring for operations

Tripling your volume no longer means tripling your back-office team. The module does the repetitive work, so your people can focus on consultative selling and real growth.

The SAP B1 module is part of our Magento 2 integrations portfolio. See also the connectors for Senior ERP, FAN Courier, Posta Romana or eMAG Marketplace if you are building a complete ecosystem.

Technical

How it works technically: the SAP Magento integration architecture

The integration uses the native API layers of both platforms, with no third-party middleware adding licence costs and yet another point of failure. SAP Business One exposes the Service Layer and DI API; Magento 2 exposes the REST API, GraphQL and native webhooks. Our module orchestrates these layers with its own mapping, retry logic and audit layer.

Service Layer, DI API and the Magento 2 REST API

SAP B1 Service Layer is a modern REST/OData layer, recommended for installations on HANA and SQL Server (10.0+). It gives full access to SAP entities (Items, Business Partners, Documents), with SessionID authentication and support for batch transactions. For legacy installations we use DI API. Official documentation: SAP Business One Service Layer.

On the Magento side, Adobe Commerce and Magento Open Source offer a mature Magento 2 REST API, plus GraphQL. We complement it with event observers (for example sales_order_place_after) and, on Adobe Commerce 2.4.7+, with native webhooks for asynchronous notifications without polling.

The mapping layer translates the structure of a Magento Sales Order into an SAP B1 Sales Order: DocEntry, ItemCode, Quantity, Price, CardCode, ContactPerson, AddressExtension, plus UoM, currency, tax mapping and custom UDFs. Frequencies: stock and prices in near real time, master data event-based, order confirmations immediately, with a daily batch reconciliation as a safety net.

Technical requirements (prerequisites)

SAP B1: versions 10.0+ on Microsoft SQL Server or 9.2+ on SAP HANA, with Service Layer enabled (or DI API on the server for the legacy flow). The licences and the integration user are configured in SAP.

Magento 2: Magento Open Source 2.4.x, Adobe Commerce on-premise, Adobe Commerce Cloud or B2B Edition. An integration token generated for API-to-API authentication.

Security: TLS communication with a valid SSL certificate at both ends, the SAP B1 server reachable from the Magento server's network (VPN or IP whitelist), an audit log for every call.

If you are still on Magento 1 or on an old Magento 2 version, the first step is a Magento 2 migration to a current version. We can assess an existing installation in less than 1 hour, so just ask us.

How we work

Implementation stages: from analysis to go-live

An SAP B1 ↔ Magento 2 implementation with LEADLION follows 5 clear stages, each with a defined deliverable. Below is the typical duration for a standard SME project: an SAP implementation in Romania on a store with 1000-10000 SKUs.

  1. Discovery & data audit

    1-2 weeks

Workshop with your team (operations, IT, finance). Audit of the SAP and Magento structures. A mapping document approved before any code is written.

  2. Connector configuration

    3-4 weeks

Dev environment setup. Implementation of the product, price, stock, customer, order and cancellation flows. UoM, currency, tax, retry logic, alerting.

  3. Import & verification

    1 week

Initial master data import SAP → Magento. Stock synchronisation across all warehouses. Integrity checks on samples.

  4. UAT with real scenarios

    1-2 weeks

B2C and B2B scenarios, edge cases (SAP offline, negative stock, new product). Written sign-off from the client.

  5. Cutover & monitoring

    1 week+

Going live, 24/7 monitoring in the first week, frequency tuning, handover of the documentation and dashboard.

Total: 7-10 weeks for a standard SME project. For enterprise projects or ones with complex SAP UDFs (multi-currency, multi-company, advanced B2B), the timeline extends to 12-16 weeks. See also other Magento projects delivered by our team.

Decision

Custom development vs. standard connector: what to choose in 2026

The market offers off-the-shelf SAP-Magento connectors (with a recurring monthly licence) and custom solutions. Both make sense, but in different contexts.

Standard connector: when it makes sense

A B2C store with low volumes, clean SAP and Magento structures, no custom UDFs and no specific Romanian requirements. Setup in 2-3 weeks, a monthly licence, vendor support.

Custom development: when it is a must

Distributors, B2B manufacturers, retailers with 1000+ SKUs or with genuinely Romanian requirements. Standard connectors do not cover:

  • e-Factura SPV / ANAF (the Romanian tax authority) / SAF-T: legal obligations with specific accounting logic
  • Multi-warehouse with custom rules: B2B reservations, allocation rules per customer group
  • Romanian modules already in use: the FAN Courier module, Posta Romana, eMAG, the MFinante module
  • SAP UDFs: custom fields added by the accounting team over 10 years of operation

What you get after discovery

A higher upfront cost, but zero monthly licence, native integration with your ecosystem and maintenance under your control. In the long run, custom development typically ends up cheaper than a standard connector with paid support, and the architecture remains your own asset. For SMEs with complex requirements and B2B retailers in Romania, custom development is the pragmatic choice.

Lessons from projects

Common challenges when integrating SAP B1 with Magento 2

After delivering a number of projects, we have identified 5 pitfalls that come up in almost every implementation. We deal with them proactively, not reactively.

Dirty data in SAP

Duplicate SKUs, outdated price lists, business partners without a TAX ID. Impact: an initial import with hundreds of conflicts. Solution: 2 weeks of cleanup and deduplication in SAP before the first line of code, plus a data quality report.

UoM mismatch

SAP manages stock in "boxes of 24", Magento sells "per unit". Impact: stock inflated or deflated by a factor of 24. Solution: explicit UoM mapping at product level, with automatic conversion of stock and price.

Hardcoded B2B prices

Special prices in SAP, other prices in Magento and nothing to arbitrate between them. Impact: unhappy B2B customers and losses on adjustments. Solution: dynamic customer group ↔ SAP price list mapping, with SAP as the single source of truth.

One-way integration when the business needs two-way

Orders changed in SAP (split delivery, quantity adjustment) never reach Magento. Impact: the customer sees a different status from reality. Solution: a mandatory two-way push for status, delivery and invoice.

Version drift after updates

Changed APIs, breaking changes, an integration that fails without warning. Solution: a Magento maintenance contract with patching and regression testing at every major update.

These lessons are the cost of our learning, not yours.

Case study

How we integrated SAP Business One with Magento 2 for a LEADLION client

The challenge

SAP was not sending updates to Magento. The result: duplicated work, orders re-entered by hand, wrong stock levels on display and negotiated B2B prices that never showed up on the site.

The solution

A custom module with two-way synchronisation for products, customers, prices, stock, orders and cancellations. The flow is built on the SAP B1 Service Layer and the Magento 2 REST API, with retry logic and full logging, following Magento standards and security rules.

B2B distributor

A project that paid for itself in the first few months through time savings alone

Results

-70% order processing time

0 stock errors / overselling

  • Correct B2B prices automatically for every customer group
  • The operations team refocused on customer relationships, not data entry
